Demo/Poster Materials and Presentation Guidelines

As announced before, ICDCS 2021 will be held virtually (via Whova), and we plan to include synchronous and asynchronous modes of communication during the conference. To facilitate the poster/demo paper presentation and interactions, please follow the following instructions carefully.

1. Required Materials (due June 15)

Please upload the following materials to the Dropbox link (https://www.dropbox.com/request/W23gUL1hb14PgyIyHy85) by June 15, 2021 (US Eastern time):

  • (For both demo and poster) 1-minute pre-recorded video for a lightning presentation, which will be posted on the virtual conference site and played back in the beginning of the demo/poster session. The purpose of the lightning presentation is to provide the audience with a brief overview of your demo/poster and motivate them to attend your individual live demo/poster session. We recommend that you prepare and present 1-2 slides, which covers the problem definition/motivation of the work, followed by a brief summary of the proposed solution.

    Naming convention: video_[paper ID]_[yourlastname].mp4

    Video specification: at most 1 minute; MP4 format; 1080p resolution; 16:9 aspect ratio.

  • (For both demo and poster) a PDF poster file, which will be posted on the virtual conference site. This is to serve the same purpose of a poster in an in-person conference for the audience to view at any time and for you to present in the live demo/poster session. Due to the difficulty in presenting a huge poster via screen sharing in a virtual session, we recommend a concise poster template (see link below), which summarizes the main points of your paper with just enough technical details. Please feel free to adjust the template (e.g., format and section titles) based on the specific needs of your paper. In the live session, you are welcome to complement the poster with any other forms of presentation you would like (e.g., slides, demo videos, and other related materials).

  • (For demo only) a pre-recorded 5-10 minutes demo video, which will be posted on the virtual conference site for the audience to view and learn about your demo. Also, in the live demo session, you are welcome to use this video to complement the live demo if necessary.

    Naming convention: demo_[paper ID]_[yourlastname].mp4

    Video specification: 5-10 minutes; MP4 format; 1080p resolution; 16:9 aspect ratio.

In addition, the presenter of each demo/poster please fill up the presenter sign-up form below, which also serves as a confirmation for the uploaded files above for our cross-checking.

Note: All the above materials are due June 15, 2021 (US Eastern time). We really appreciate your kind cooperation and contribution to the demo/poster program.

2. Demo/Poster Presentations (at the virtual conference)

The demo/poster session is scheduled for 2 hours during the virtual conference, including the following three components:

  • Lightning Presentations (~30 minutes): The demo/poster chairs will playback the 1-minute lightning presentation video for each demo/poster to the conference attendees. After that, the attendees will choose their interested demos/posters and attend the live sessions.
  • Live Demo Sessions (~45 minutes): 10 parallel live demo sessions, each with a separate Zoom room.
  • Live Poster Sessions (~45 minutes): 13 parallel live poster sessions, each with a separate Zoom room.

The live sessions are similar to in-person demo/poster presentations, where you are the presenter (and host for Zoom) to introduce your work to the audience who may stop by (i.e., join the Zoom room) at any time. Depending on how many people are in the virtual room simultaneously, you can decide on how you organize the presentation and the communications. Also, you can choose the format of presentation, such as screen sharing the poster, slides, demos, or other materials, whichever you think would best present your work. Our recommendation is that, since the main feature of demo/poster is the interactions between the presenter and the audience, please organize your session as two-way communications/discussions by providing plenty of opportunities for the attendees to ask questions.
